What kinds of businesses actually benefit from AI?

Any business with repetitive admin: answering the same enquiries, retyping information between systems, drafting routine documents, summarising paperwork. The strongest cases tend to be in exactly the trades we already serve — shops, hotels, hospitality and small offices. If your team spends hours on work a careful assistant could draft for review, there’s probably a saving worth having. The audit will tell you honestly if there isn’t.

Usually what you have. Microsoft 365 already includes AI capability many businesses pay for without using, and most modern phone, EPOS and website platforms can be connected to. Our starting point is always to wire AI into the systems your staff already know rather than adding another application to learn. Where a new tool genuinely earns its place, we’ll say so — and explain exactly why.

We deliberately don’t sell AI from a rate card, because the honest answer is “it depends what’s worth doing”. The readiness audit comes first, at a fixed quoted price, and produces a prioritised plan with costs against each item. You then choose what to implement, knowing the price before any build starts. Tool subscriptions and licences are separate, paid to the vendor.

The right question to ask — pasting customer data into public AI tools is the most common mistake we see. We configure tools so business data isn’t used for model training where the vendor allows it, advise on which data should never leave your systems, and help you write a simple staff policy. We won’t promise absolute guarantees — no honest consultant can — but your setup will be deliberate rather than accidental.

In a small business, almost never — and that’s not what we’d build for. What AI does well is the drudge work: first drafts, retyping, summarising, sorting. Your people stay responsible for decisions and anything a customer sees. Most businesses we talk to aren’t trying to cut heads; they’re trying to stop skilled staff spending half the week on admin. That’s the saving worth chasing.

We’re vendor-neutral, and tools are chosen per job — the AI market moves quickly, and the right choice this year may not be next year’s. Any licensing or subscription is paid directly to the vendor at their published prices, not to us, so we’ve no incentive to push one product.
